E-mail policy

In order to ensure that applications are processed smoothly, unequivocally and fairly, please take the following points into account if you wish to communicate with us about an application via e-mail:

  • E-mail does not have the same status as written correspondence

    The Benelux Office for Intellectual Property treats e-mails on the same level as telephone calls. It is therefore not possible to file an application or maintain or revoke by e-mail, to appeal against a provisional refusal, to submit a mutation request, to submit a renewal request, or to submit documents of any kind (such as authorizations, figurative trademarks, agreements, evidence, etc.), nor to do this in the form of an attachment of any kind.

    Such e-mails will be ignored. Standard correspondence by post and by fax are the only acceptable media for sending these items. We should also point out that we do not use e-mail for sending official correspondence from the BOIP relating to terms, (certified) copies or refusals. We always use standard postal services.

  • Always state the relevant number

    If you wish to correspond via e-mail regarding an application, search, renewal or mutation, you should always state the relevant reference number/application number as the subject of your e-mail message.

  • The addressee may be absent

    In principle the use of e-mail enables fast and efficient communication. However, it is possible that the person you wish to contact via e-mail may be absent from the office. In such cases the BOIP aims to inform you of this as soon as possible. However, if you have not received an answer within a reasonable period of time, please contact the relevant department by telephone.
